One-Way Exchange Folders Synchronization
CodeTwo Exchange Sync will let you sync data between folders of Exchange server in a number of ways. There are two synchronization types.

One-Way synchronization of exchange folders.
Below you will find information on one-way syncing between folders on Exchange server. 
One-way synchronization can occur between a set of folders (two or more) but the data will always go in one direction only. This means there are source folders and target folders.The changes made to the source folder are propagated (synchronized) to the target folders, but the changes that occur in the target folders are not synchronized back at all.
The one-way synchronization can be of the following type:
  • one to one
  • one to many
  • many to one
One to one
Synchronize exchange calendarExactly two folders are synchronized one of which becomes the source folder and the other is target. Therefore, the changes to the source folder are mirrored in the target folder, but the changes occurring to the target folder are not mirrored in the source folder. 
 
One to many
One to Many Exchange folders synchronizationThere is one source folder only and multiple target folders. The changes in the source folder will propagate to all target folders. In this type, the data from the source folder is replicated in the multiple target folders.
This synchronization type will, for example, be used in companies where there is one continually updated contacts database located in a public folder and the requirement is for the contacts to sync to the personal folders of selected employees. This will allow the employees to have public contacts in their personal contacts folder alongside the personal contacts for the data they input will not synchronize with the public folder as it would if two-way synchronization were used. Because now the personal contacts folders of employees are always up-to-date, they can upload the data to mobile devices. 
Many to one
Many to One Exchange folders synchronization.There are multiple source folders and one target folder. Each change made to any source folder will propagate to the single target folder. In other words, the data from multiple folders is gathered in one folder.
This synchronization type will be frequently used with calendar folders e.g. when we want to create a single calendar that will show an aggregate view of multiple calendars. It enables quick setup of a public calendar that will contain appointments and meetings of several employees. What is more, by employing the modifiers, appointments of different employees can be tagged with separate color categories while the filters will ensure that items marked by staff members as private will not sync to the public aggregate calendar. 
Two-Way Exchange Folders Synchronization
CodeTwo Exchange Sync will let you sync data between folders of Exchange server in a number of ways. The synchronization types can be divided into 2 types:

Below you will find information on two-way syncing.
Two-way synchronization involves a mutual exchange of data in a group of folders (two or more) i.e. in the so-called 'Folder ring'. When a change occurs to one of the folders in the ring, this is immediately propagated to all the remaining folders within this group.
For example, if we have 3 Exchange folders containing contacts that are scheduled for the two-way synchronization, by creating a contacts item in any of the folders, it will also be added in the remaining 2 folders. If in any folder the contact's phone number is updated, the change will automatically be reflected in the remaining 2 folders.
The two-way synchronization can be used in the following scenario: In the company there is a group of employees who need the same updated data in their folders at all times. These can be Sales Representatives who hunt for sales leads, add new contacts and update the existing items. Their databases must be automatically kept in sync at all times.
Real-time Exchange Folders Synchronization
The synchronization of data between Exchange server folders occurs in real-time with CodeTwo Exchange Sync. This means each change made to any item in the source folder will in a split second propagate to the selected target folder(s).
All the syncing occurs in the background and is transparent to the user.

There are two general types for synchronization of data between Microsoft Exchange server folders. The sync can take place at fixed intervals or in real-time, just like in our application.
Also, there are several ways in which various applications will access Exchange server data. This is access through libraries: CDO, Outlook's API, WebDAV, EWS, and Extended MAPI. We always utilize Extended MAPI libraries in our applications, as the libraries of the lowest level that enable best performance and the most advanced features.
Filters - Choose Precise Data to Synchronize
Filters - precise synchronization of Exchange folders.By using filters, CodeTwo Exchange Sync lets the administrator precisely control if the synchronization will include all items contained in the folders or only the selected ones.
The filters will prevent replication of items to the target folder(s) that do not meet the defined criteria. For example, the administrator can configure the program to synchronize between calendars the (appointments) with a specified word in the subject, are not older than 7 days, are tagged with ‘Business' category, and finally are not marked as private by respective users.
In CodeTwo Exchange Sync there are many filters of various type, the access to some of which depends on the type of items you sync. For example, contact items will use a phone number filter that is unavailable for other types of data.
The filters render CodeTwo Exchange Sync practical in a number of scenarios. It can be used for instance to monitor user inboxes. If a message with a specified word in its subject or from a specified recipient lands in the inbox, this message can be copied without user's interference to a selected mailbox or a public folder.
Modifiers - Dynamic Tagging of Replicated Data
Modifiers - tagging data in synchronized Exchange folders.Apart from filters, another unique feature of CodeTwo Exchange Sync that gives the administrator wide control over synchronized data are modifiers.
The modifiers let you modify the attributes (fields) of synchronized items on the fly.The administrator can use the feature to change the title, category, date, and many other attributes before saving items in the target folder. This feature is particularly helpful in one-way synchronization, type: many to one, where data from multiple source folders is replicated in a single target aggregate folder.
While configuring the modifier, the administrator selects the attribute that will be changed before saving the item in the target folder as well as decides how the attribute will be modified. The modifiers will also let you change multiple attributes of an item before saving it in the target folder.

Synchronization of data between mobile devices (iPhone, iPad, Android, Blackberry) and public folders of Exchange Server
CodeTwo Exchange Sync enables synchronization of data between mobile devices and public folders of Exchange Server.
Let's assume there is a number of Sales Representatives in your company, who all need access to an updated contacts database of your clients. The shared client database is stored in a contacts folder that is a public folder on Exchange 2010, 2007, 2003 or SBS. The Sales Representatives usually work on-site outside the company and use mobile devices like iPhones, iPads, Blackberries or those with Android. The problem is they cannot synchronize contacts on their handhelds with the Exchange server public folder as this is not technically possible without a third party app.
CodeTwo Exchange Sync solves this problem with a few clicks. You need to create a one-way synchronization task (One to Many) that will copy the data from the public folder to multiple contacts folder located in personal Exchange mailboxes of the Sales Reps. This will let them enjoy the updated customer database directly in their mailbox and easily sync this data with thier handhelds. As a result, the data from the public contacts folder will propagate to their mobile devices that are used outside the office.

When an authorized person introduces a change to the company contacts database in the public folder, CodeTwo Exchange Sync will automatically transmit the modifications to the personal contacts folders of selected employees.
By using filters in CodeTwo Exchange Sync you can add more criteria for the synchronized items. For example, you can configure the program to sync only the items marked with a certain category.
In addition to the shared company contacts, your users can keep other personal contacts in their contacts folders. Because the synchronization goes in one direction only (in this example), i.e. from the public folder to the personal folder, the personal contacts will not replicate to the public folder and will not be visible to other users.
Replication and Update of a Shared Company Contacts Database (Synchronization in Two Directions)
CodeTwo Exchange Rules enables synchronization of Data in two directions between mobile devices and public folders of Microsoft Exchange Server.
The example given in Synchronization of Data between Mobile Devices (PDA, BlackBerry, Windows Mobile) and Public Folders of Exchange Server is related to one-way synchronization – from a public contacts folder to the user's personal contacts folder. However, you might need to give the users an opportunity to update the shared contacts database stored in the public folder.
Two-Way Exchange folders synchronization
For this you will need to create in CodeTwo Exchange Sync a two-way synchronization between the public folder and users' personal folders. This will mean any change made by any user to their personal folders or via a mobile device (iPhone, Android, etc.) will automatically replicate to the public folder and all the remaining personal folders included in this sync group (Folder ring).
Let's have a practical example:
A Sales Representative is outside the office. CodeTwo Exchange Sync and Active Sync are responsible for updating this employee on any changes to the public folder. But while having a meeting with a client, the employee sees the data in the public folder is obsolete and needs updating. The employee inputs up-to-date information to the smartphone. The phone uploads the data to the personal folder via Active Sync. Once the data is changed in the personal folder, CodeTwo Exchange Sync transmits it to the public folder and selected other users' personal folders that also accept updates.
In this scenario (two-way synchronization) the data in all selected folders within one sync group is always kept in sync.
If there are multiple Sales Representatives in the company and we want only some of them to be able to modify items in the public folder where company contacts database is stored, a two synchronization tasks need to be created in CodeTwo Exchange Sync. The first task will be a one-way synchronization, as described in Synchronization of Data between Mobile Devices (PDA, BlackBerry, Windows Mobile) and Public Folders of Exchange Server. This task will be dedicated to the users whose changes made to the personal folder or in a mobile device will not sync to the public folder. The second task will be a two-way sync, just as it is described in this section. This task will include the personal folders of users, the changes in which must be synced with the public folder hosting the company contacts database.
Group Calendar on Exchange Server
CodeTwo Exchange Sync enables quick and easy setup of an aggregate calendar view for multiple employees.
Let's assume there are 6 employees working on a certain project. They record their activities and planned actions in the Outlook calendar. But at the same time, each person would like to see other team members' calendars in one view to see the projects progress at a glance. This requirement is met by using the standard features of Microsoft Outlook, which enables displaying multiple calendars in one view. This is however time consuming and inconvenient as the administrator would first need to set the appropriate access rights so that each employee can read calendar data of all the other five employees. What is more, when we want to browse multiple calendars in Outlook, 6 different calendars need to be checked.

Group calendar view can be created much more quickly with the aid of CodeTwo Exchange Sync. The only thing that needs to be done is create a one-way synchronization task, in which appointments from multiple calendars of employees engaged in the project will replicate to one shared calendar, preferably a public folder. With this approach, only one click is needed to go to the public folder and see an aggregate view of calendars belonging to six employees. In addition, this calendar will be accessible outside the office via Web browser using Outlook Web Access (OWA) or on mobile devices as well.
CodeTwo Exchange Sync provides functionality that facilitates the management of data located in the shared calendar. There are the filters that can be used to define which appointments will be copied to the shared calendar. For example, you can exclude appointments marked as private, copy only the appointments not older than a set date, or those tagged with a category. Also, there are the modifiers that enable on-the-fly changes to the items before they are saved in the public folder so they carry additional information e.g. the category may help identify the calendar the copied appointments originated from.
Monitoring and Reporting
By using the filters in CodeTwo Exchange Sync you can easily use the application to monitor and report. Let's assume a manager manages several employees and wants to receive information as soon as any task is marked by employees as complete in Outlook.
For this, in CodeTwo Exchange Sync create a synchronization task that will be responsible for copying to a selected task folder in the manager's Exchange mailbox all task items marked as complete in Exchange mailboxes of reporting employees. The synchronization task can too be defined so as to direct the tasks from different employees to separate folders, or to mark them appropriately e.g. by adding full name of the owner in the task's subject.
